Virginia State Parks Headquarters is accepting applications for the Customer Service Program Assistant position.
Job Summary:
The Virginia State Parks Office of Visitor Services is seeking a highly organized, detail-oriented Customer Service Program Assistant to provide administrative and program support for statewide visitor services and customer service initiatives. This position supports several high-volume programs serving Virginia State Parks visitors and employees, including self-led Outdoor Adventure programs, employee recognition programs, and visitor feedback processes. The position maintains program databases and records, communicates with internal and external customers, reviews and triages visitor comments and concerns, coordinates program activities, and provides administrative support to the Visitor Services section. The successful candidate will manage multiple ongoing responsibilities with accuracy, exercise sound judgment in reviewing and routing customer communications, communicate professionally with a wide range of customers and staff, and work independently while contributing effectively as part of a team.
Key Duties and Responsibilities:
- Administer assigned components of Virginia State Parks' self-led Outdoor Adventure programs, including maintaining program databases and participant records, monitoring award inventory, fulfilling and mailing awards, and responding to participant questions and requests.
- Coordinate Adventure Program recognition presentations with visitors and park staff; maintain presentation records and park contact information; and provide information to staff responsible for agency social media and promotion.
- Review online visitor surveys and other customer feedback; identify complaints, concerns, trends, and issues requiring follow-up; and route or escalate information appropriately. Communicate with visitors and park staff as needed to support timely and effective responses.
- Assist with Virginia State Parks promotional and outreach activities, including staffing information booths and tables at events. Some travel may be required.
- Administer the State Parks employee customer service recognition program, including maintaining the recognition database and program records, monitoring and following up on pending approvals, preparing and distributing certificates and recognition items, maintaining inventory, and maintaining current program contact information.
- Maintain accurate and current standard operating procedures and other documentation for assigned Visitor Services processes.
- Support employee onboarding, transfers, and changes in assignment by establishing and updating appropriate user access to Virginia State Parks internally developed databases.
- Maintain and update employee information in the Virginia State Parks SharePoint staff directory.
- Provide administrative and program support for other Visitor Services initiatives and Virginia State Parks headquarters operations as assigned.
Minimum Qualifications:
- Demonstrated experience providing program, administrative, and customer service support, including communicating professionally and effectively with internal and external customers both verbally and in writing.
- Demonstrated ability to review customer communications and feedback, identify the nature and priority of questions or concerns, and exercise sound judgment in determining appropriate follow-up, referral, or escalation.
- Demonstrated organizational skills, including the ability to manage multiple responsibilities, maintain accurate records, track pending items, meet deadlines, and follow assignments through to completion with limited supervision.
- Experience using Microsoft 365 applications and electronic recordkeeping systems, databases, spreadsheets, or similar tools, with demonstrated attention to detail and ability to learn new software applications.
- Demonstrated ability to work independently and collaboratively, follow established processes, and develop, follow, or maintain written procedures and process documentation.
Additional Considerations:
- Experience independently coordinating or administering an ongoing program, service or business process involving multiple responsibilities, deadlines, and stakeholders.
- Experience reviewing, responding to, routing and/or tracking customer complaints, comments or other customer feedback.
- Experience developing or maintaining standard operating procedures, process documentation, or other written instructions.
- Experience with Microsoft SharePoint, DCR, or other government agency applications and administrative processes, and/or knowledge of Virginia State Parks operations and visitor service programs.
Special Instructions:
- Background Check: Employment in all Virginia State Parks positions is contingent upon satisfactory completion of a criminal history background check.
- Employment Eligibility: Selected candidates must complete the I-9 Employment Eligibility Verification Form. DCR participates in E-Verify.
- Driver’s License Requirement: A valid State Driver's License is required if operating a state or personal vehicle for agency business.
- Work Requirements: Wage/seasonal positions are not eligible for benefits and are limited to 1,500 hours from May 1 to April 30.
